Website Privacy Policy

Last Updated: July 2026

Note: If you or your company have entered into a separate, signed agreement with Respondology governing the use of our products or services, that agreement will take precedence over anything in this Privacy Policy to the extent of any conflict.

This Privacy Policy discloses the privacy practices for the www.respondology.com site and various related services, including but not limited to Respondology’s Comment Activation Platform (together referred to as the “site”). Respondology, the provider of the site (referred to as “us” or “we”), is committed to protecting your privacy online. Please read the information below to learn the following regarding your use of this site.

You acknowledge that this Privacy Policy is part of our site Terms of Use, and by accessing or using our site, you agree to be bound by all of its terms and conditions. If you do not agree to these terms, please do not access or use this site.

We reserve the right to change this Privacy Policy at any time. Such changes, modifications, additions or deletions shall be effective immediately upon notice thereof, which may be given by means including, but not limited to issuing an email to the email address listed by registered users and posting the revised Policy on this page. You acknowledge and agree that it is your responsibility to maintain a valid email address as a registered user, review this site and this Policy periodically and to be aware of any modifications. Your continued use of the site after such modifications will constitute your: (a) acknowledgment of the modified Policy; and (b) agreement to abide and be bound by the modified Policy.

Types of Information Collected

In order to better provide you with our services, we collect two types of information about our users: Personally Identifiable Information and Nonpersonally Identifiable Information. Our primary goal in collecting information from you is to provide you with a smooth, efficient, and customized experience while using our site.
Personally Identifiable Information: This refers to information that lets us know the specifics of who you are. When you engage in certain activities on this site, such as registering for an account, ordering a product or service, or sending us feedback, we may ask you to provide certain information about you. It is completely optional for you to engage in these activities. If you elect to engage in these activities, however, we may ask that you provide us personal information, such as your first and last name, mailing address (including zip code), email address, employer, job title and department, telephone and facsimile numbers, and other personal identifying information. Depending upon the activity, some of the information we ask you to provide is identified as mandatory and some as voluntary. If you do not provide the mandatory data with respect to a particular activity, you will not be able to engage in that activity.
Nonpersonally Identifiable Information: This refers to information that does not by itself identify a specific individual. We gather certain information about you based upon where you visit on our site in several ways. This information is compiled and analyzed on both a personal and an aggregated basis. This information may include the Web site’s Uniform Resource Locator (“URL”) that you just came from, which URL you next go to, what browser you are using, and your Internet Protocol (“IP”) address. A URL is the global address of documents and other resources on the World Wide Web. An IP address is an identifier for a computer or device on a Transmission Control Protocol/Internet Protocol (“TCP/IP”) network, such as the World Wide Web. Networks like the Web use the TCP/IP protocol to route information based on the IP address of the destination. In other words, an IP address is a number that is automatically assigned to your computer whenever you are surfing the web, allowing web servers to locate and identify your computer. Computers require IP addresses in order for users to communicate on the Internet.

COLLECTION METHODS AND USE OF INFORMATION

You provide certain Personally Identifiable Information to us when you: (a) register for our services and register your email address with us; (b) send email messages, submit forms or transmit other information by telephone or letter; (c) utilize Respondology’s Comment Activation Platform or publicly facing website. We may also collect information from you at other points on our site that state that such information is being collected.

In addition, we may also collect, or a third party ad server and/or content server may collect, certain Nonpersonally Identifiable Information. This information is ultimately stored in the form of store categories, and, in some cases, specific URLs. We use your IP address to diagnose problems with our servers, software, to administer our site and to gather demographic information. Our third party ad servers will also provide us with summary, but not individual, reports that will tell us how many ads were presented and clicked upon at our site.

We will primarily use your Personally Identifiable Information to provide our services to you, as required by our agreements with you. We will also use Personally Identifiable Information to enhance the operation of our site, improve our marketing and promotional efforts, statistically analyze site use, improve our product and service offerings, and customize our site’s content, layout, and services. We may use Personally Identifiable Information to deliver information to you and to contact you regarding administrative notices. We may also use Personally Identifiable Information to resolve disputes, troubleshoot problems and enforce our agreements with you, including our Terms of Use, and this Privacy Policy.

MARKETING AND PROSPECT DATA

This section applies to business professionals whom we contact for business-to-business sales and marketing purposes and whose information we did not collect directly from them. It supplements the disclosures above and, for individuals located in the European Economic Area, the United Kingdom, and Switzerland, is intended to satisfy our transparency obligations under Article 14 of the EU and UK General Data Protection Regulation (“GDPR”).

Categories of information. In connection with our business-to-business marketing, we may collect and process the following categories of personal data relating to business contacts: name; business email address; business telephone number; employer or company name; job title, role, department, and seniority; professional social media or profile information (such as a public professional profile); and general business location. We do not seek to collect special categories of personal data for this purpose.

Sources of the information. We obtain this information from sources other than you directly, including:

  • third-party data providers and sales-intelligence or contact-enrichment vendors;
  • publicly accessible sources, such as company websites and public professional profiles;
  • social media and other public online platforms; and
  • referrals and business introductions.

How and why we use it. We use this information to identify potential business customers, to contact relevant professionals about our products and services, to tailor and improve our outreach, to conduct market research, and to manage and record our sales and marketing activities.

Legal basis. Where the GDPR or UK GDPR applies, we process this information on the basis of our legitimate interests in promoting our business and offering our products and services to relevant organizations and professionals (Article 6(1)(f)). We have weighed these interests against the rights and freedoms of the individuals concerned. Where applicable law requires a different basis, we rely on an appropriate alternative basis.

Who we share it with. We share this information with the service providers and subprocessors that help us operate our sales and marketing activities (for example, customer relationship management, email delivery, and data enrichment providers), who are permitted to use it only to provide services to us. We may also disclose information as described in the “RELEASE OF INFORMATION” section above.

How long we keep it. We retain marketing and prospect data only for as long as necessary for the purposes described above, and we review and remove information that is no longer accurate, relevant, or necessary. If a contact opts out or objects, we retain the minimum information necessary to honor that request (for example, on a suppression list).

Your choices and rights. You may object to our processing of your personal data for direct-marketing purposes at any time, and you may opt out of further communications using the unsubscribe or opt-out method provided in our messages or by contacting us as described below. Depending on your location, you may also have the right to access, correct, delete, restrict, or port your personal data, and to withdraw consent where our processing is based on consent. To exercise any of these rights or to ask us what information we hold about you and where we obtained it, contact us at privacy@respondology.com or Respondology, 2101 Pearl St, Boulder, CO 80302. We will respond as required by applicable law.

CALIFORNIA BUSINESS CONTACTS

If you are a California resident, this notice supplements the section above and is provided under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA”). It applies to the personal information we collect about business professionals for our business-to-business marketing.

Categories of personal information we collect. We collect the following CCPA categories of personal information about business contacts: identifiers (such as name and business email address); professional or employment-related information (such as employer, job title, role, and seniority); commercial or internet activity information (such as public professional profile information); and general geolocation (business location). We do not collect sensitive personal information for this purpose.

Purposes. We use this information for the business purposes described above, identifying and contacting potential business customers, marketing our products and services, and managing and recording our sales activities.

Sources. As described above, we obtain this information from third-party data and contact-enrichment providers, publicly accessible sources, and social or professional platforms.

Sale or sharing. We do not sell your personal information for monetary payment. However, our website uses advertising and analytics technologies (such as cookies and pixels from social media and advertising platforms, including Meta, LinkedIn, and Google) that result in the “sharing” of personal information for cross-context behavioral advertising, as those terms are defined under the CCPA. The marketing and prospect data described in the section above is not itself used for cross-context behavioral advertising. You have the right to opt out of this “sharing” at any time, as described in “Your California rights” below.

Retention. We retain this information only for as long as necessary for the purposes described above, consistent with the retention practices stated above.

Your California rights. Subject to certain exceptions, California residents have the right to know and access the personal information we hold, to request correction or deletion, to opt out of any “sale” or “sharing” of personal information, and not to be discriminated against for exercising these rights. To opt out of this “sharing,” you can use the “Your Privacy Choices” or cookie-preferences link available in our website footer to disable the advertising and analytics technologies described above at any time; we also honor opt-out preference signals sent by your browser, including the Global Privacy Control (GPC). To exercise any other right, or to opt out by contacting us directly, reach us at privacy@respondology.com or Respondology, 2101 Pearl St, Boulder, CO 80302. You may use an authorized agent to submit a request on your behalf.

PRIVACY POLICIES OF THIRD PARTY SITES

Except as otherwise discussed in this Privacy Policy, this document only addresses the use and disclosure of information we collect from you. We are not responsible for the policies or practices of third parties. MISCELLANEOUS PRIVACY ISSUES

You must be at least 18 years old to have our permission to use this site. Our policy is that we do not knowingly collect, use or disclose Personally Identifiable Information about visitors that are under 18 years of age.

You should also be aware that when Personally Identifiable Information is voluntarily disclosed (i.e. your name, email address, etc.) in the discussion forums or other public areas on this site, that information, along with any information disclosed in your communication, can be collected and used by third parties and may result in unsolicited messages from third parties. Respondology’s platform uses YouTube API services. By using our Services, you are agreeing to be bound by the YouTube Terms of Service and agreeing to Google’s Privacy and Terms.

You can review YouTube’s Terms of Service here: https://www.youtube.com/t/terms

You can review Google’s Privacy and Terms here: http://www.google.com/policies/privacy

Use of YouTube API Services and Social Platform Data

Respondology’s Platform uses YouTube API Services. When a YouTube channel owner (or an agency the owner authorizes) connects their YouTube account, we access, collect, and store the following data via the YouTube Data API: channel identifiers and metadata, video identifiers and metadata, and comments and comment threads on the channel’s content, including commenters’ public display names, comment text, and timestamps.

We use this data solely to provide comment moderation and analytics to the authorizing channel owner: detecting and hiding comments that violate the owner’s configured moderation policies, and generating aggregated insights (such as sentiment and themes) for that owner. To deliver these services, we share comment content with our AI moderation subprocessors (OpenAI and Microsoft Azure OpenAI) strictly to generate a moderation decision or analytics; these subprocessors are contractually bound to protect the data and do not use it to train their models.

We do not sell YouTube data. YouTube API Data is accessible only to the authorizing channel owner. We retain YouTube API Data for the duration of your services and refresh it approximately every 30 days.
